From quote to order

How to convert an accepted quote to an order with one click and manage your orders.

Overview

In Meistify, orders are typically created from accepted quotes. The 1-click conversion transfers all data automatically – no retyping needed.

You can also create orders directly without a quote first. This is handy for regular customers or small jobs.


1. Create order from quote (1-click)

Prerequisite: The quote has the status Accepted.

  1. Open the accepted quote
  2. Click the Create Order button
  3. Meistify automatically transfers:
    • Customer
    • Construction site
    • All line items with quantities and prices
  4. The new order is created with status Planned

The quote and order remain linked. You can always jump back from the order to the original quote.


2. Create order directly

Navigate to Orders and click New Order.

Required fields:

  • Customer – Select an existing customer
  • Title – Brief description of the job

Optional fields:

  • Construction site – Link the order to a site
  • Start / End date – Planned timeframe
  • Line items – Services and materials
  • Notes – Internal comments

3. Manage order status

An order goes through the following statuses:

  • Planned – Not yet started
  • In progress – Work underway
  • Completed – All work done β†’ ready for invoicing
  • Cancelled – Order was cancelled

Before setting an order to "Completed", make sure all hours are tracked and all line items are correct. The invoice will be created from this data.


4. Order to invoice

Once an order is completed:

  1. Open the order
  2. Click Create Invoice
  3. All line items are automatically transferred to the invoice
