Overview
Quotes are the first step in the Meistify workflow. You create a quote, send it to the customer and convert it to an order with one click once accepted.
The typical workflow: Customer β Construction site β Create quote β Send β Customer accepts β Create order (1-click) β Work β Invoice
1. Create a new quote
Navigate to Quotes and click New Quote.
Header data
- Customer β Select an existing customer
- Construction site β Optional but recommended
- Quote number β Assigned automatically
- Valid until β How long the offer is valid
Add line items
Click Add item and fill in:
- Description β What is being offered (e.g. "Kitchen electrical installation")
- Quantity β Amount
- Unit β Pieces, hours, metres, lump sum, etc.
- Unit price β Price per unit (net)
Meistify calculates automatically:
- Line item total
- Net total
- VAT amount
- Gross total
You can add as many line items as you like, reorder them or delete individual items.
2. Send quote as PDF
When your quote is ready:
- Click Preview to check the PDF
- Click Send β the PDF is emailed to the customer
- The status changes automatically to Sent
The PDF includes:
- Your company logo and details
- All line items with unit prices
- Net/gross totals with VAT
- Validity date
Make sure your company details and logo are set up in Settings before sending your first quote.
3. Track status
A quote has the following statuses:
- Draft β Work in progress, not yet sent
- Sent β Delivered to the customer
- Accepted β Customer agreed β ready for order conversion
- Rejected β Customer declined
4. Convert quote to order
Once the status is Accepted:
- Open the quote
- Click Create Order
- All data (customer, construction site, line items) is transferred automatically
